What personal data we collect and why we collect it

Comments

Public comments are normally not allowed on the site.

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

Public image upload in normally not permitted on the site.

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Contact forms

In case you use a contact form in the site, the necessary information to communicate are requested (e.g. name and email).

Registration/payment form

ACTIVA CONGRESOS, S.L informs you that all your personal data collected by the fulfilment of this document will be stored in an automated processing file of our property registered in the General Record Department of the Spanish Data Protection Agency. All your personal data will be processed with the maximum confidentiality, according to the Privacy and Security Policy of this company, and with total compliance to the Personal Data Protection Law 15/1999, of 13 December. The purpose of this data treatment is to manage your registration for the 1st International Congress on Fire in the Earth System: Humans and Nature.

By the fulfilment of this document, you allow us to store your personal data for an automated and documentary treatment as expressed above. Abstract submission

When submitting an abstract, the necessary information to review and process your work is requested (e.g. authors, affiliations, etc.). Submitting authors are required to have receive explicit consent from their co-authors to submit their joint work, and enter into the same arrangements as the authors. By submitting their work, authors confirm that (a) publication of the work described has been approved by all the author(s) and by the responsible authorities – tacitly or explicitly – of the institutes where the work has been carried out, and that neither the abstract nor the display materials infringe copyright or any other rights by third parties, and (b) the work submitted does not contain content that is unlawful, abusive or constitute a breach of contract or of confidence or of commitment given to secrecy. The authors warrant that they secure the right to reproduce any material that has already been published or copyrighted elsewhere and that they identified such
objects with appropriate citations and copyright statements, if applicable, in captions or even within the objects themselves (e.g. copyrights of maps).

Conference registration

When registering for the conference, the necessary information to process your registration and payment (if any) are requested. In case a registration is sponsored (e.g. by the Green Fund), the necessary information will be shared with the sponsoring authority in order to certify participation.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website by submitting an abstract or registering for the conference, we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you (Right to Erasure request).
